Concert production (employee)

Here you will find information on how to organise a concert or event as an employee. Start by choosing one of the following two options.


1. My concert/event forms part of the academy’s curriculum and I need one of the academy’s producers to help we. Which concerts fall under this category is decided each semester by the progamme directors and heads of office.

1. Contact a producer

Make sure you contact the producer eight weeks before the planned concert/event.

  • David Hornwall – responsible for symphony orchestra concerts and diploma concerts
  • Johan Antoni - project management for the symphony orchestra and chamber music at MuKy
  • Emma Bolin – responsible for the other concerts/events

2. Book a venue

If the concert/event will take place at Malmö Academy of Music, you need to check the availability of the venue/room by emailing: schema [at] mhm [dot] lu [dot] se

Provide the following information:

  • concert date
  • time (should include when you need access to the venue and time afterwards for cleaning)
  • brief description of the concert/event (just writing "concert" is not enough)
  • who will be the responsible on site


3. Instruments and technical equipment

You are responsible for booking instruments and technology if needed. You do this in Helpdesk at least three weeks before the concert/event.

4. Marketing

To add your concert/event to our webpage (which is also reflected on the academy's info screens), the producer needs the following information at least three weeks before your concert/event:

  • Title - a title that describes your concert
  • Date and time (start and end time)
  • Where (which room/venue)
  • Text - a short text describing your concert and what you will be playing
  • High resolution image - landscape format without graphics or text
  • If needed a list of participants (co-musicians, soloist, conductor etc.)
  • If needed a full programme (composers, lyricists, works and movements etc.)

You can also ask for a Facebook event. Do not forget to promote your concert on your own social media channels.

Please note

We do not make programmes or posters for inhouse concerts, only for certain external concerts and events. Ask the producer what applies in your case.


5. Last but not least

Your concert/event booking is only finalised when you have:

  • restored the room/venue to its original position.
  • inspected the room/venue and equipment and reported any damage in Helpdesk.
  • reported STIM to producer Emma Bolin for external concerts (playlist and number of visitors).

2. My concert/event forms part of the academy’s curriculum and I will be responsible for producing it myself.

Please note that all concerts at Malmö Academy of Music must be authorised by your immediate boss.

Provide the following information:

  • concert date
  • time (should include when you need access to the venue and time afterwards for cleaning)

Other things to consider

Public concerts at the academy which take place in the evening or on weekends must have a security guard present. For concerts that take place during weekends, extra cleaning must also be carried out. You are responsible for booking this via Helpdesk.

You are also responsible for:

  • booking transport if needed in Helpdesk
  • booking piano tuning if needed in Helpdesk

  • If needed a list of participants (co-musicians, soloist, conductor)
